Minimum Qualifications of Education and Experience

Expected starting salary is $23.06 to $30.79.  Full salary range is $23.06 to $38.52.

Associate’s degree from an accredited college or university in business, administrative assistant or related field.

OR

High School graduate, G.E.D., or foreign education equivalent to a U.S. High School Diploma and two (2) years of experience in similar position as listed in the work functions.

OR

Combination of education and experience equivalent to two (2) years of experience in a similar position as listed in the work functions.

Regular and reliable attendance is a necessary component of job/position. Individuals required to use County vehicles and equipment must have a valid driver’s license and be free of any major traffic violations for the last three (3) years.

Required Special Qualifications:

Must be able to obtain the necessary certification to meet the federal requirement as a driver’s license agent within six (6) months of employment.

Nature of Work

Under supervision, provides customer service, answers questions and processes applications with great attention to detail for the area of assignment including birth and death records, marriage licenses and certificates, Minnesota ID cards and Driver’s Licenses, passports, and other forms of miscellaneous licenses and documents. Reviews identification and legal documents.

Examples of Work

  • Processes applications for area of assignment: examples include birth and death records, marriage licenses and certificates, Minnesota ID cards and Driver’s Licenses, passports, Notary Public services and other forms of miscellaneous licenses
  • Answers inquiries about policy, regulations and procedures regarding birth and death records, marriage licenses and certificates, Minnesota ID cards and Driver’s Licenses, passports, Notary Public services and other forms of miscellaneous licenses and documents, for the public and representatives of private firms and government agencies
  • Answers inquiries about policy, regulations and procedures for the public and representatives of private firms and government agencies
  • Prepares, reviews and edits reports, documentation and correspondence
  • Greets, assists and directs customers to location of services
  • Provides backup support for other functions in the department
  • Performs related work as required
  • Provides Notary Public services as needed

Knowledge, Skills and Abilities Required

  • Knowledge of basic office procedures and equipment
  • Knowledge of policies, regulations, statutes, procedures, and practices pertaining to the area of specialization
  • Knowledge of legal documents and certification and notarization procedures
  • Knowledge of data privacy policies, regulations, statutes and practices
  • Skill in the use of computers and technology
  • Skill in the use of basic business math
  • Ability to perform cash transactions with accuracy
  • Ability to perform complex clerical takes and make routine decisions
  • Ability to maintain the confidentiality of information
  • Ability to organize and prioritize daily work tasks while experiencing multiple interruptions
  • Ability to establish and maintain effective working relationships with others
  • Ability to follow written and verbal instructions
  • Ability to communicate effectively both verbally and in writing
  • Ability to adapt to changes in tasks and responsibilities
  • Ability to work independently as well as within a team
